Privacy Policy
Last updated: 30 March 2026
LivAround ("we", "us", "our") is operated by LIVAROUND LTD, a company registered in England and Wales. We are committed to protecting your personal data and respecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).
This policy explains what personal data we collect, why we collect it, how we use it, who we share it with, and what rights you have.
1. Who we are
LIVAROUND LTD is a property operations platform for short-term rental hosts and property managers. For the purposes of data protection law, LIVAROUND LTD is the data controller — meaning we decide how and why your personal data is processed.
If you have questions about this policy or wish to exercise your data rights, contact us at: mohit@livaround.com
2. What data we collect
We collect and process the following categories of personal data:
| Category | Data collected | Why we need it |
|---|---|---|
| Account data | Name, email address, password (hashed) | To create and manage your account |
| Organisation data | Organisation name, address, property details | To provide the property management service |
| Booking data | Guest names, check-in/out dates, booking source | To manage bookings and dispatch workers |
| Worker data | Worker names, phone numbers, GPS locations (during active jobs only) | To dispatch workers and track job completion |
| Payment data | PayPal email, subscription details, transaction history | To process payments. We do not store credit card numbers — this is handled by PayPal/Stripe |
| Partner data | Name, email, PayPal email, referral activity | To manage the partner programme and pay commissions |
| Usage data | IP address, browser type, pages visited, feature usage | To improve the platform and diagnose issues |
| Communication data | Messages between hosts and guests, support enquiries | To provide the messaging service and support |
3. Lawful basis for processing
Under UK GDPR, we must have a lawful basis for processing your personal data. We rely on:
- Contract performance (Article 6(1)(b)): Processing necessary to provide the LivAround service you've signed up for — including account management, booking management, worker dispatch, and payment processing.
- Legitimate interests (Article 6(1)(f)): Processing for analytics, platform improvement, fraud prevention, and security. We've conducted a legitimate interests assessment and concluded that these interests do not override your rights.
- Consent (Article 6(1)(a)): For optional marketing communications. You can withdraw consent at any time by clicking "unsubscribe" or contacting us.
- Legal obligation (Article 6(1)(c)): Where we're required to retain data for tax, accounting, or regulatory compliance.
4. How we use your data
We use your personal data to:
- Provide and maintain the LivAround platform
- Process bookings and dispatch workers to properties
- Track worker locations via GPS during active jobs (with their knowledge and consent)
- Generate revenue reports for property owners
- Process subscription payments and partner commission payouts
- Send transactional emails (booking confirmations, alerts, reports)
- Provide customer support
- Detect and prevent fraud and abuse
- Improve the platform based on usage patterns
- Send marketing communications (only with your consent)
5. GPS and location data
LivAround collects GPS location data from workers using the Worker Mobile App. This data is:
- Collected only during active job assignments — not when workers are off duty
- Updated every 15 seconds during active tracking
- Visible to the worker's organisation admin (the host/property manager)
- Retained for 90 days for operational records, then automatically deleted
- Workers are clearly informed that location tracking is active through an in-app indicator
Workers can see that tracking is active and understand its purpose. Location tracking is a core function of the job dispatch service and is necessary for contract performance.
6. Who we share your data with
We share personal data only with:
- Payment processors: PayPal and Stripe — to process subscription payments and payouts. They act as independent data controllers under their own privacy policies.
- Hosting providers: Our platform is hosted on Railway and Vercel (servers in the US and EU). We have appropriate data processing agreements in place.
- Email service: Resend — for transactional emails. Acts as our data processor.
- Error monitoring: Sentry — for technical error tracking. Processes minimal personal data (IP address, browser info).
We do not sell your personal data to third parties. We do not share your data with advertisers. We do not use your data for profiling or automated decision-making that produces legal effects.
7. International data transfers
Some of our service providers are based outside the UK. Where we transfer personal data internationally, we ensure appropriate safeguards are in place:
- US-based providers (Railway, Vercel, Sentry, PayPal, Stripe): Protected by the UK-US Data Bridge and/or Standard Contractual Clauses (SCCs).
- We only use providers that offer adequate data protection commitments.
8. Data retention
| Data type | Retention period |
|---|---|
| Account data | Until you delete your account, plus 30 days |
| Booking data | 3 years after the booking date (for tax/accounting purposes) |
| GPS location data | 90 days after the job is completed |
| Payment records | 7 years (UK tax requirements) |
| Communication data | 2 years after the conversation |
| Usage/analytics data | 12 months (aggregated and anonymised after that) |
| Partner referral data | Duration of partnership plus 2 years |
When data reaches the end of its retention period, it is securely deleted or anonymised.
9. Your rights
Under UK GDPR, you have the following rights:
- Right of access: Request a copy of all personal data we hold about you.
- Right to rectification: Ask us to correct inaccurate data.
- Right to erasure ("right to be forgotten"): Ask us to delete your data, subject to legal retention requirements.
- Right to restrict processing: Ask us to temporarily stop processing your data.
- Right to data portability: Receive your data in a machine-readable format (JSON or CSV).
- Right to object: Object to processing based on legitimate interests or for direct marketing.
- Right to withdraw consent: Where we rely on consent, you can withdraw it at any time.
To exercise any of these rights, email mohit@livaround.com. We will respond within one month as required by UK GDPR.
10. Cookies
We use minimal cookies:
- Essential cookies: Session authentication and security tokens. These are necessary for the platform to function and do not require consent.
- Referral tracking: A cookie storing the partner referral code for 30 days. This is used to attribute referrals for our partner programme.
- Analytics: We use privacy-friendly analytics (no Google Analytics). We do not use advertising cookies or tracking pixels.
We do not use third-party advertising cookies. We comply with the Privacy and Electronic Communications Regulations (PECR).
11. Data security
We implement appropriate technical and organisational measures to protect your data, including:
- All data transmitted over HTTPS (TLS encryption)
- Passwords hashed using bcrypt (never stored in plain text)
- Database access restricted to authenticated services only
- Regular security reviews of our codebase (the platform is open source under AGPL, enabling community security review)
- Payment data handled entirely by PCI-compliant processors (PayPal/Stripe) — we never see or store card numbers
12. Self-hosted instances
LivAround is open source. If you self-host LivAround on your own infrastructure, you are the data controller for any personal data processed by your instance. This privacy policy applies only to data processed through our managed service at livaround.com and its subdomains.
13. Children's data
LivAround is a business tool for property managers. We do not knowingly collect personal data from anyone under 18 years of age. If we learn that we have collected data from a child, we will delete it promptly.
14. Changes to this policy
We may update this policy from time to time. We will notify you of significant changes by email or through the platform. The "last updated" date at the top of this page indicates when the policy was last revised.
15. Complaints
If you're unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO):
